Registration
Depending on the number of vacancies, submitting an enrollment form cannot guarantee a spot for your child. You will receive an email to confirm receipt of your enrollment and amount requested for the class. Admission will be confirmed via email when we receive payment. In the event that you do not receive an email confirmation, please contact our office or the Instructor. Please note that the student’s account must be cleared before attending the class.
Cancellation, Refunds, and Transfer of Credit
Classes that do not meet the minimum requirement may be canceled. We will do our best to place your child in another class should this happen. Refunds or class credits are offered on canceled classes and before the session begins.
Full refund (minus $25 cancellation fee) will be given when you cancel and withdraw your child’s registration 7 days before the first day of class. No refunds will be given after the first day of class. All unopened materials will be accepted for a full refund. In the event that you wish to transfer your child to another i-Immersion class or location, a service charge of $10 or 10% of the tuition, whichever is greater will apply.
Coming to a Trial Class
Your child is welcome to attend a trial class. However, only some i-Immersion classes are available for trial on a space available basis. A trial form must be submitted via website or in-person if you wish to schedule a trial class for your child. It is our classroom policy that every visiting student has a trial form on file before participating in the trial class. A confirmation email will be sent to the requester after our office receives and processes the trial request. If you do not receive the confirmation email within 2 business days after submitting the request please contact our office directly to check on the status of your trial request. Please DO NOT drop-in on a class for which no confirmation has been received.
Make-Ups & Switching Classes
All make-ups must be scheduled ahead and before the class begins. Depending on the length of the class session and the type of class, you may not be given a make-up for the class. Make-ups also must occur during the same season for which your child is currently registered. Please schedule your make-ups early as space is limited and do not drop-in on a class without scheduling for a make-up.
If you wish to switch class day and/or time before or after class begins, we will do our best to help find an option based on your schedule depending on the vacancies availability. For safety of the students we cannot switch your child into classes that are full or have a wait list. Please note that a transfer fee of $10 or 10% of the tuition, whichever is greater will apply. For classes that do not have make-up available, you are recommended to schedule a private tutoring session with your instructor if your child misses more than 3 classes in a 12-week session and 2 classes in a 6-week session. Private tutoring rate will apply, therefore please commit to the class that you registered in!
Materials and Materials Fee
For classes where materials fees are required, ALL registered families must submit their materials fee before or on the first day of class. Failure to do so may result in being dropped from the class.
Payment
We accept Visa, MasterCard, and American Express. Cash or check payments can also be made to pay for your class tuition. All returned checks and disapproved credit card transactions will be subject to a service charge of $25 per transaction. E-mails from i-Immersion
E-mails are the quickest and most efficient way for communication, specifically for notifications of changes. . Please make sure we have your current e-mail address on file. You can send an email to “info@i-Immersion.com” with the student’s name and class time and we will update your e-mail address accordingly. For those who have registered through our website your email address will be automated saved on file.
To ensure that our email communication between parents and i-Immersion please do add info@i-Immersion.com to your address book. This is to avoid our emails being spammed from you email folders.
Food & Drinks
To maintain a safe and clean environment for our students, no food and drinks are allowed in the classroom. To meet the city ordinance and the city health guidelines for schools, i-Immersion needs your cooperation in maintaining a healthy environment for our students. Please sanitize your child’s hands before entering the classroom. This simple step can help eliminate health risks for those students with allergies. For parents who wish to stay with their child in the classroom, please do not bring coffee or other hot beverages into the classroom. We appreciate your cooperation in observing these rules!
Participation in class for Adult Students
All Adult students attending class must participate in classroom activities. If you have physical challenges that do not allow for your full participation, please participate to the best of your ability. I-Immersion strives to maintain an atmosphere for learning, therefore please do not talk during class. Visiting with your friends is encouraged before and after class. All cell phones and PDAs must be turned off before entering the classroom.
Participation in class for Children
Children will participate in classroom activities at their own level and when they are ready. If you decide to observe you child’s class please watch and support your child during the time that you are in the classroom. To maintain an atmosphere for serious learning for all students, children who disturb the class will be disciplined.
Parents or caregivers are only required to stay with their child in the toddler’s class. For K-5 students you are welcomed to observe your child’s first class but we ask that all parents drop off their kids and pick them up after class is over.
Safety
SAFETY OF ALL CHILDREN IS A PRIORITY at i-Immersion. Parents & caregivers are responsible for the behavior of their children. If your child is consistently behaving in a way that presents a safety issue for other children in the classroom (i.e. hitting, biting or pushing), your child will be asked to step out of the classroom until his/her disturbing behavior is under control. If the behavior persists, the Director will contact the parents and discuss the options. This may result in dispelling the student and refunding the remaining portion of the tuition (minus a $25 administrative fee and any materials fee).
Illness
Please do not allow your sick child to attend the class. Your child is allowed to make-up the class. Please refer to our Make-Up policy.
Classes Sponsored by a Third Party
i-Immersion works with schools, recreation centers, and parent groups to set up classes that are convenient for families to attend. Because of this arrangement the policies established by these Third Parties will governed. And i-Immersion does not have the liberty and flexibility to accommodate your special requests. Please be sure to learn and understand the policies of the sponsored group.
i-Immersion will try its best to accommodate parent’s request for make-up classes held at i-Immersion’s locations. Please refer to guidelines for make-up, payment, and registration steps set by the sponsored groups.
